Violation of plans is a common situation in modern business. Regardless of the reasons - unforeseen circumstances or non-fulfillment of agreements, it is important to know how to respond effectively to such situations in order to minimize losses, maintain operational efficiency and prevent the situation from reoccurring.
Warning and preparation is the key idea of implementing Goals Management Technology in business work. Let's consider some practical tips with examples of how to properly respond to disruptions in business plans.
1. Accept reality
Tip: After encountering a plan violation, accept the situation as it is. Trying to ignore the problem or hoping for a quick fix can lead to further complications.
Example: While organizing an open event, we encountered weather conditions - it rained. Then I quickly decided to postpone the event to another date. We posted the announcement not only at the venue, but on social media, and on the appointed date, even more people came than we expected at all.
2. Analyze the reasons for the violation
Tip: Carefully analyze the reasons for the plan violation to avoid similar problems in the future.
Example: Having discovered a delay in the project due to the late completion of some stages of work, we held a meeting with the contractor to find out the reasons, and then reviewed the terms of the contract and changed the strategy of cooperation with him.
3. Be flexible
Tip: Take a flexible approach to the situation, looking for alternative ways to solve the problem.
Example: We received information from the client about the need to move the training date of his employees, and we offered other dates and other performers for the project. In this way, we showed the client our willingness to cooperate, but also demonstrated our busyness.
4. Communicate with all stakeholders
Tip: Notify all stakeholders of the plan violation and discuss possible solutions together.
Example: We always do 2 things - preventive and operational response. As a preventive measure, we always hold scheduled coordination meetings with clients, contractors, and employees to identify potential threats. And promptly, we immediately and very quickly notify everyone about changes in plans and schedules.
5. Search for alternative solutions
Tip: Don't stay idle before breaking the plan. Look for alternative ways to solve the problem.
Example: After a delay in the supply of materials, we found an alternative supplier to avoid production delays. We also try to always have an alternative solution for ourselves.
6. Plan ahead
Tip: Apply the principle of "time reserve" when planning tasks or projects.
Example: When planning, it is important to allow time for force-majeure and deviations from the planned schedule. Do not worry that this "extra" time will disappear, because you will always find a way to use it. You can improve the result or conduct an unplanned strategic session, or sum up the results of the project for the future.
7. Learn from mistakes
Tip: Use every plan violation as an opportunity to improve and grow your business.
Example: After launching a new product, we analyzed all violations and errors, and then created corporate organizational policies for future use.
Disruption of plans is not only a problem, but also an opportunity to improve and develop your business.
The main reasons for the disruption of plans:
- lack of constant control over deadlines
- lack of planning coordinations
- lack of consideration of potential force-majeures
- incorrect time calculation of tasks and projects
- lack of planning and coordination at the beginning of the project
- insufficient communications with business participants
- hidden sabotage by performers and partners
Instead of suffering because of the disruption of your own and corporate plans, it is better to pay attention to the analysis of the reasons that cause it, and then you need to develop and apply methods of how you can reduce it or remove it from your business altogether. And this is possible. With the right approach and using the practical tips above, you can effectively manage schedule disruptions and achieve your business goals.
